Executive Assistant
Part time, ongoing position (30.4hours per week)
Elsternwick (Women's Mental Health) & Malvern (Research Precinct) locations
Salary range $45-$50ph + 12.5% superannuation

How you will make an impact
As an Executive Assistant, you will be responsible for the provision of high level, confidential administrative and executive support to the Chief of Mental Health & Outreach, Group Director Identity & Mission and the Group Director Cabrini Research. Key to your success in this role will be in ensuring the efficient management of time, resources and information, while offering compassionate, competent service within the framework of the Mission, Values and Vision of Cabrini.
Key responsibilities will include:
- Maintaining electronic diaries, scheduling meetings and appointments and arranging suitable meeting rooms, venues and catering.
- Preparing and coordinating the production of documents including briefing papers, reports, agendas, minutes and other material for various meetings.
- Organising travel and accommodation for conferences, seminars and meetings.
- Receiving, screening and relaying telephone calls and enquiries and attending to incoming mail.
- Preparing and replying to correspondence and maintaining a current coordinated filing system, including an electronic filing system for all documents.
What you will bring to the role
The successful candidate will have previous experience as an Executive Assistant in a senior role in healthcare and/or other relevant organisation.
You will also have the following:
- Proven diary management capabilities to manage the schedule of three executives including internal and external meeting preparation.
- Advanced computer skills in Microsoft Suite including Word, Outlook and PowerPoint as well as Microsoft Teams/Zoom and Adobe. Experience with other systems such as Diligence, JDE, KRONOS/Dimensions would be highly regarded.
- Demonstrated high level minute taking skills and attention to detail with efficient management of time, resources and information.
- High level of interpersonal skills with the ability to communicate effectively at all levels and maintain confidentiality in all matters.
- Ability to show initiative as well as exceptional organisational skills to prioritise effectively to meet deadlines.
- Ability to work well both autonomously and in a team environment.
- Relevant administrative qualifications would be highly regarded.
