We are pleased to offer a permanent full‑time opportunity for an enthusiastic and patient‑focused Patient Services Officer (Medical Administration) to join our team.
This role involves working within Radiation Oncology at our Frenchs Forest clinic, supporting both patients and clinical staff in a dynamic, patient‑centred environment.
As a key frontline team member, you will play a vital role in delivering a welcoming, professional, and compassionate experience for our patients, while ensuring the smooth day‑to‑day operation of the clinic.
This is a Monday to Friday role, offering stability and the opportunity to work alongside a passionate and collaborative team dedicated to exceptional patient care.
More specifically, you will:
- Provide efficient, high‑quality administrative support within a busy Radiation Oncology clinic, always ensuring a compassionate and patient‑centred experience.
- Act as the first point of contact for radiation oncology patients and their families, delivering empathetic, professional service both face‑to‑face and over the phone.
- Confidently manage competing priorities in an ever‑changing clinical environment, supporting patients throughout different stages of their radiation treatment journey.
- Book, coordinate, and confirm radiation therapy planning sessions, treatment appointments, reviews, and follow‑up visits in collaboration with radiation oncologists, radiation therapists, and nursing staff.
- Complete accurate billing and receipting at the time of appointment, with consideration of radiation oncology‑specific funding pathways and Medicare requirements.
- Accurately process referrals, treatment plans, consent forms, and clinical correspondence, ensuring timely and precise data entry.
- Support the smooth day‑to‑day operation of the radiation oncology clinic, assisting with workflow coordination and clinic readiness.
- Liaise closely with radiation oncologists, radiation therapists, nursing teams, allied health providers, and external stakeholders to ensure seamless care delivery.
- Maintain and manage patient records and confidential radiation oncology documentation in accordance with privacy, compliance, and clinical governance standards.
We’re looking for someone who has:
- Demonstrated experience delivering compassionate, patient‑centred care and high‑quality customer service within a Radiation Oncology, specialist healthcare, or customer‑facing environment.
- Strong organisational and communication skills, with the ability to liaise effectively with radiation oncologists, radiation therapists, nursing staff, allied health professionals, and external stakeholders.
- Proven ability to work both independently and collaboratively as part of a multidisciplinary oncology team.
- Experience using patient management and billing systems, with knowledge of Medicare, private health, and radiation oncology funding mechanisms highly regarded.
- An exceptional phone manner, with the ability to manage a high volume of sensitive patient enquiries with empathy and professionalism.
- A high level of attention to detail and strong administrative skills, particularly when handling referrals, treatment schedules, and clinical documentation.
- A flexible, proactive, and calm approach, with the ability to thrive in a fast‑paced and emotionally sensitive oncology environment.
